Terms & Conditions
1. Booking and Payment
- A non-refundable booking fee of $150 is required to secure your session date. Your session is not confirmed until this payment has been received.
- The remaining balance is due 24 hours before the session. For business sessions, full payment is required 7 days prior. Christening balance via bank transfer must be made 7 days prior or in cash on my arrival, the morning of the Christening.
- Payments can be made via bank transfer or a secure online invoice. Payment details will be provided in your confirmation email.
2. Cancellations, Rescheduling & Illness
- If you need to reschedule, please provide at least 72 hours’ notice. Your booking fee can be transferred to a new date (subject to availability).
- If anyone in your household (or I) is unwell, especially with contagious symptoms, please let me know as soon as possible. I’m happy to reschedule at no extra charge in the interest of everyone’s health and safety.
- Cancellations with less than 72 hours’ notice (for non-illness reasons) or no-shows will result in forfeiture of the booking fee.
- If I need to cancel due to illness or an emergency, I’ll offer you a full refund or reschedule.
3. Weather and Location
- Outdoor sessions are weather-dependent. If the weather is looking unfavourable, I’ll be in touch to reschedule or chat about alternative indoor options.
- Travel within [X km] of Adelaide CBD is included. A small travel fee may apply for locations beyond this range.
- Newborn sessions are held in your home, so no travel fees apply within the included radius.
4. Session Time & Client Responsibility
- Please be ready to start at the agreed time. Late arrivals may result in a shorter session.
- Family sessions are relaxed and fun — I allow time for kids to warm up and be themselves, while still making sure we capture those “must-have” shots.
- Newborn Lifestyle Sessions (in-home):
- Best done within the first 5–14 days, but I work around your baby’s and family’s needs.
- Sessions are completely baby-led and take place in your home, using natural light wherever possible.
- Please tidy the areas we might use (commonly the main bedroom, lounge or nursery) and open blinds/curtains to let in light.
- A parent or guardian must be present for the entire session.
- Christenings/Events: Please provide a rough run sheet or timing guide if available.
- Business photography: I’ll guide you throughout the session to ensure we’re capturing images that suit your brand.
5. Image Delivery
- Your images will be delivered via an online gallery within 2–3 weeks of your session.
- You’ll receive high-resolution digital images for personal (or commercial, where applicable) use, and the option to purchase professional prints, albums, or canvases.
- RAW files are not supplied.
6. Editing and Retouching
- All images are carefully hand-edited in my signature warm and natural style. This includes light skin retouching and overall image enhancement.
- Extra editing (e.g. extensive background removal, body modification, or advanced retouching) can be requested and may incur an additional fee.
7. Copyright and Usage
- I retain copyright of all images. You are granted a personal licence to print and share the images for private, non-commercial use.
- Business clients will receive a commercial licence for use across your website, socials, and marketing material. Wherever possible, please credit “Photo by Nancy”.
- Please don’t apply filters or modify images in a way that changes their look. If you need crops or different sizing, just let me know.
8. Model Release
- By booking a session, you agree that your images may be used for promotional purposes — including my website, portfolio, social media, or printed materials — unless you request otherwise in writing before your session.
- If you’d prefer to keep your session completely private, I absolutely respect that — just let me know.
9. Liability
- While all reasonable care is taken with your images and session, in the rare case of technical failure, equipment issues or loss of files, my liability is limited to rescheduling your session or refunding your session fee.
- I am not responsible for personal injury or damage to property during the session. Children remain the responsibility of their parent or guardian at all times.
10. Newborn Safety – In-Home Sessions
- Your baby’s safety is my top priority. I won’t ever place your baby in an unsafe position or use complicated props.
- Lifestyle sessions are completely natural and relaxed — they capture your family as you are, in your own space.
- Please have a few soft, neutral wraps or blankets on hand. I’ll guide you gently through the process and work around feeding, nappy changes, and cuddles.
11. Gift Vouchers
- Gift vouchers are valid for 12 months from the date of purchase (unless otherwise stated).
- Vouchers are non-refundable and not redeemable for cash.
- Sessions must be booked within the validity period and are subject to availability.
- Vouchers can be transferred to another recipient with written notice, but the original expiry date still applies.
12. Online Gallery & Download Expiry
- Your online gallery will remain active for 30 days from the date of delivery. Please ensure you download and back up your images within this time.
- A reminder will be sent before your gallery expires. Re-uploading or extending gallery access beyond the 30-day period may incur a $25 fee.
- Photo by Nancy is not responsible for lost or deleted files after the gallery expiry. Please back up your images to multiple devices or cloud storage for safekeeping.
13. Print Product Orders
- You are welcome to order professional prints, frames, or albums directly through your gallery or by request. I only use trusted, high-quality labs to ensure the best results.
- Print orders must be paid in full at the time of ordering and are non-refundable once submitted to the lab.
- Turnaround times vary, but you can expect most products within 2–4 weeks (longer for custom albums or frames).
- If you notice any issues with your prints or products on arrival, please notify me within 7 days so I can assist with a resolution.
- Colours may vary slightly depending on your screen calibration. I cannot guarantee colour accuracy if you choose to print through external labs.
